In our first article, we explored why now is a great time for small business owners to start learning about artificial intelligence (AI). Today's AI tools are more accessible, more capable, and easier to use than ever before.
But as you start exploring AI, you'll quickly encounter a variety of terms and technologies. Chatbots, workflows, assistants, agents... what do they all mean?
The good news is that most AI tools used by small businesses fall into three simple categories: Chat AI, Workflow AI, and AI Agents.
Understanding the difference between them will help you identify which tools can provide the most value for your business.
1. Chat AI: Your Conversational Business Assistant
Definition: Chat AI responds to questions and instructions through a conversation, much like chatting with a knowledgeable assistant.
This is the type of AI that most people are familiar with. Tools such as ChatGPT, Microsoft Copilot, Gemini, and Claude allow you to ask questions, brainstorm ideas, write content, and get help with a wide range of business tasks.
A small business owner might use Chat AI to:
- Draft customer emails
- Create social media posts
- Brainstorm marketing campaigns
- Summarize research
- Develop a business plan
- Write website content
Think of Chat AI as a digital assistant that's available whenever you need a second opinion, a fresh idea, or help getting started.
For many entrepreneurs, this is the easiest and most effective place to begin.
2. Workflow AI: Automating Repetitive Tasks
Definition: Workflow AI uses artificial intelligence within automated processes to complete routine tasks with little or no manual effort.
If Chat AI helps you work, Workflow AI helps work happen automatically.
Workflow AI is often used behind the scenes to connect systems, move information, and reduce repetitive administrative tasks.
Examples include:
- Automatically responding to website inquiries
- Routing customer requests to the correct person
- Creating tasks from online forms
- Organizing incoming information
- Sending appointment reminders
- Following up with prospective customers
For entrepreneurs managing multiple responsibilities, Workflow AI can help reduce the number of small tasks competing for your attention throughout the day.
Instead of remembering every step yourself, the workflow handles it for you.
3. AI Agents: Goal-Oriented Digital Helpers
Definition: An AI Agent can work toward a goal by completing multiple related tasks with limited supervision.
This is the newest category of AI getting attention in the business world.
Unlike Chat AI, which waits for instructions, an AI Agent can perform a series of actions to achieve a specific outcome.
For example, an AI Agent might:
- Review incoming leads
- Draft personalized responses
- Update a customer relationship management (CRM) system
- Schedule follow-up actions
- Notify the business owner when human input is needed
You can think of an agent as a digital team member focused on a specific responsibility.
While many small businesses are just beginning to explore agents, they're becoming increasingly accessible and may play a larger role in business operations over the next few years.
Which Type of AI Is Right for You?
The answer depends on the challenge you're trying to solve:
- If you want help writing, researching, brainstorming, or planning, start with Chat AI.
- If you're spending too much time on repetitive administrative tasks, look at Workflow AI.
- If you're ready to automate entire processes and coordinate multiple tasks, AI Agents may be worth exploring.
The good news is that these technologies aren't competing with each other. In fact, they work best together.
Many businesses start with Chat AI, add Workflow AI as they become comfortable with automation, and eventually explore AI Agents as their needs grow.
Start with Your Biggest Time Drain
Rather than focusing on the technology itself, focus on the problem you're trying to solve.
Ask yourself:
- What task do I repeat most often?
- What takes more time than it should?
- What administrative work pulls me away from customers?
For many entrepreneurs, especially those managing limited time, energy, or capacity, AI can help reduce routine workload and create more space to focus on high-value activities that move the business forward.
That's where the real opportunity lies.
